Marketing ideas for travel agents: be the first call when the girls' trip gets planned

Somewhere in a group chat tonight, someone has typed "we should do a trip for my 50th", and five friends have replied with a row of palm trees. These marketing ideas for travel agents are about being the name that lands in that chat next, before anyone opens a booking site and before the whole idea fizzles into "maybe next year".

This playbook is for agents selling trips out of Queensland and New South Wales: girls' getaways, milestone birthdays, cruises, mother and daughter escapes and group bookings of every shape. Selling your region to the visitors coming in is a different job, and our marketing ideas for tourism operators cover that side. Paint Juicy ("Paint") has one section near the end. Every idea before it works for an agency that never books a night with us.

Why a group of friends is worth more than five bookings

Australians are travelling, and the numbers aren't shy about it. The ABS Overseas Arrivals and Departures release for August 2026, published 13/10/2026, counted 986,250 returns from short-term overseas trips by Australian residents in that month alone, up 1.5% on August 2025 and 5.9% above August 2019. Queensland residents made 183,710 of those returns, up 4.1% in a year, and New South Wales residents made 307,410, the most of any state. Indonesia topped the destination list at 178,830, ahead of New Zealand at 120,830. The ABS counts border crossings rather than people, but the direction is clear.

The appetite is there. The question is who books it. A solo flight to Denpasar takes four minutes on a phone. Six friends with six budgets, three different leave approvals and one who has never owned a passport? That's a project, and projects need a project manager.

The organiser is your real client

Every group trip has one woman doing the herding. She chases deposits, fields the "what's the weather like?" questions and quietly worries she'll cop the blame if the hotel disappoints. Market to her. Promise to take the admin off her plate and make her look brilliant in front of her friends, and she'll bring you the whole group.

One good trip books the next one

Groups travel again. The friends who did a 40th in Fiji start eyeing a 50th somewhere further away. Each traveller also belongs to other groups: her book club, her netball team, her work crew. Look after one group well and you've earned an introduction to five more.

Trip occasions worth planning your marketing around

Group travel runs on occasions. Map them once and half your calendar writes itself.

Occasion Who's usually travelling When the talk starts What makes you the first call
Milestone birthday trip The birthday woman plus her closest friends or sisters Often a year or more out, sometimes at the birthday before A shortlist of three trips at three budgets, ready to forward
Girls' getaway A friendship group from work, school days or sport Straight after a big night out, when someone says "we need a holiday" A long-weekend escape with a clear per-person total
Mother and daughter trip Mum and one or more adult daughters Around Mother's Day, a retirement or a big birthday A pace that suits both of them, with rooming sorted early
Friends' cruise Sisters, friends or couples travelling as a pack When one of them gets back from a cruise and won't stop talking about it Cabin options compared side by side in plain English
Hens trip The bride and her bridal party Soon after the engagement, once the wedding date is set Dates that dodge the wedding rush and a payment plan for each traveller
Empty-nest or retirement trip Couples or friends whose calendars have just opened up When the last adult child moves out or a finishing date is set Longer, slower itineraries with the hard bits handled

Cruises deserve a special mention. Cruise Lines International Association figures released 15/04/2026 show a record 1.45 million Australians took an ocean cruise in 2025, up 9.5% on 2024, with an average passenger age of 47.3. Of those, 286,000 cruised beyond Australia, New Zealand and the South Pacific, up 17%, and CLIA notes that more cruise fans are flying to other countries to sail. Flights, transfers, a pre-cruise hotel and a ship that won't wait for anyone: that's exactly the kind of trip a group would rather hand to someone who has done it before.

Mother and daughter trips have two buyers with two sets of tastes. If the daughters grew up on 80s and 90s radio, how to reach Gen X women fills in their side of the booking, and if Mum's house has just gone quiet, advertising to empty nesters covers what changes for her.

Timing matters too, because Queensland and NSW school holidays rarely line up. In 2027, Queensland's spring break runs 18/09/2027 to 04/10/2027 and the NSW break runs 27/09/2027 to 08/10/2027 (see the official Queensland term calendar and the NSW school calendar). Friends with no school calendar to work around can travel in term weeks, away from the holiday crowds, so say so in your ads. Our marketing calendar 2027 has the rest of the year's dates for both states.

Marketing ideas for travel agents that get the group chat buzzing

1. Host a trip night that feels like a night out

Skip the plastic chairs. Pick one destination, keep it under two hours, pour something nice and talk like a friend who has been there. Ask every guest to bring the person she'd most like to travel with, because a pair who arrives together tends to leave with a plan together.

2. Hand the organiser a ready-made kit

Make her job easy and she'll stay loyal. Give her a one-page trip summary she can screenshot straight into the group chat: dates, per-person total, what's included, what isn't and the payment schedule. Invoice each traveller separately so she isn't stuck being the bank, and send the reminders yourself so she never has to chase her friends for money.

3. Put the value into the group offer, not a price cut

Shaving dollars off a group quote trains everyone to haggle. Add something instead: a welcome dinner on the first night, a private transfer from the airport, a pre-trip catch-up at your office with bubbles and the itinerary up on the big screen. Extras like these feel generous and leave your margin intact.

4. Write for the questions people actually type

Somebody is searching for "50th birthday trip ideas from Brisbane" or "girls' weekend in Noumea" right now. Write the page that answers it, built on trips you or your team have taken, with your own photos and honest notes on what didn't work as well as what did. First-hand detail is what a booking site can't fake.

5. Partner with the businesses that see the trip coming

The boutique selling resort wear, the salon booking pre-holiday nails and the bridal shop fitting a whole bridal party all hear about trips months before you do. Agree a simple swap: their offer in your welcome pack, yours on their counter, each business collecting its own opt-ins. If a fashion boutique looks like your best partner, our boutique event marketing playbook shows what they're working with.

6. Welcome them home, then plan the sequel

Invite the group back for a photo night a few weeks after the trip, ask every traveller for an honest review, and float the next destination while the tan lines are still showing.

Trust is the product: price honesty and the fine print

Groups are spending real money, often on behalf of friends, so the clearest agent wins. What follows is general information only: check the detail with the ACCC, your state's fair trading office or your own adviser.

Advertise the price she'll actually pay

The ACCC's guidance on price displays, updated in October 2026, says businesses must display the total price as a single figure, covering every unavoidable fee, and that "the total price of an advertised holiday must include GST and airport taxes." The Queensland Government's guidance on supplying travel services adds that because travel prices move, a holiday price should be based on the most accurate information available, with a note that it may change and what could change it. A per-person total that holds up at checkout beats a teaser price.

Surcharges on the big card networks have ended

Since 01/10/2026, businesses can no longer add a surcharge to payments made with Visa, Mastercard, American Express or eftpos cards, as the ACCC's card surcharges page confirms. The change follows the Reserve Bank's review of card payment costs and surcharging. You can still set prices to cover what card payments cost you, as long as you don't mislead anyone about those prices or why they went up. If your booking forms, invoices or terms still mention a card surcharge, fix them now, before a group of six spots it on six separate invoices.

Make your credentials easy to check

The Queensland Government's advice on using a travel agent, updated 29/06/2026, tells travellers to check whether an agent belongs to a recognised industry association and holds insolvency insurance, and notes that accreditation such as the ATIA Accredited Tick is voluntary. It also warns that most insurance policies don't currently protect travellers if the agent doesn't pay the airline. So tell people plainly what protects their money with you, and put your memberships where they can see them.

Spell out the cancellation terms

The NSW Government's page on flights, cruises and tours tells travellers to check the terms and conditions of their contract first when plans change, and says a credit note should allow enough time to use it. Write your terms in plain English, walk the organiser through them before anyone pays, and put the deposit and cancellation dates on that same one-page summary.

Meet the trip planners at the easel

Paint nights are mobile paint and sip parties of up to 3 hours, held in venues all over Queensland and NSW, each with a host up front, an easel per guest, a live singalong and trivia while layers dry. Most of the room is women, thirties to nineties, seated beside the friends, sisters, mums and workmates who booked with them: a girls' trip waiting to happen. Some rooms get huge: 151 guests packed into Springfield, Paint's biggest yet.

Two hypothetical ways a travel agent could use it:

  • Picture an independent agency in Coffs Harbour sponsoring the canvas: a whitewashed island lane above a bright blue bay, with the agency's mark tucked into a doorway. Every guest takes hers home and hangs it, so the daydream hangs in her hallway for years. How the artwork is chosen and approved is set out on the sponsored artwork page.
  • Picture a Sunshine Coast cruise specialist writing a "friends' cruise shortlist" for Paint's newsletter, with an enquiry link and a unique code so every lead traces back to it. Newsletter, content, video and social placements are covered under advertising with Paint Juicy.

Either way, guests are told who's behind it, and every enquiry comes to you through your own offer, never from a list handed over.

Travel agent marketing questions, answered

Do travel agents still have a place when everyone books online?

Yes, especially for groups. A single flight or hotel is easy to book on a phone. A trip for six friends with different budgets, rooming needs and payment dates is a project, and people will happily hand a project to someone they trust. Market the work you take off their hands, not just the destinations you sell.

How should I advertise a price for a group trip?

As general information, the ACCC expects the total price as a single figure, including taxes and unavoidable fees, and an advertised holiday price must include GST and airport taxes. Show a per-person total for a stated group size and dates, say what could change it, and confirm the detail with the ACCC or your adviser.

Can I still pass card fees on to customers?

Not as a card surcharge. The ACCC says that from 01/10/2026 businesses can no longer surcharge payments made with Visa, Mastercard, American Express or eftpos cards, though they can still set their prices to cover the cost of accepting cards. Check your booking forms and terms, and confirm the detail with the ACCC.

How do I know if a marketing idea brought in bookings?

Give every activity its own way back to you: a unique code, a dedicated enquiry link or a question on your booking form asking where people heard about you. Group trips take months to land, so track enquiries as well as bookings, and expect a lag between the night someone hears your name and the day the deposit arrives.
