What A Work Christmas Party Actually Costs Per Head In Australia
The budget conversation always happens in the wrong order. Somebody asks what the Christmas party will cost per head before anyone has decided what the party actually is, and you are expected to have a number by Thursday that will not embarrass you in January.
The trouble is that a per head number on its own tells you almost nothing. Two quotes with the same figure can be two completely different nights: one has a room, food, drinks and something for the room to do, the other has the food and a hard stop at 3pm. That gap shows up on the final invoice, and by then you are the one explaining it.
So this is not a list of averages. It is what has to sit inside a per head number, the one figure the Australian Taxation Office set that almost nobody planning a work party has heard of, and Paint Juicy's own pricing with the arithmetic shown.
Why a per head price with no inclusions is useless
A per head price is a ratio, not a fact. It is whatever a supplier decided to put on the line, divided by however many people they assumed would walk through the door. Change either half and the number moves, which is how the same figure can describe a generous night and a thin one.
Three things make a headline number lie to you. The first is the word "from". A price starting with "from" is the cheapest version of that offer, on the quietest date, for the biggest group. Your party is on a December Friday with the numbers you actually have, so "from" is somebody else's price.
The second is exclusions that arrive later. Room hire billed separately, a minimum spend behind the bar you meet at signing, a surcharge for a Sunday. None of it is dishonest, it is just quoted separately, and separately is how a budget gets beaten.
The third is headcount drift. If a quote is built on 40 and 31 turn up, your real per head cost went up, because the fixed part of the bill did not care that nine people had a thing on. That is the most common way a Christmas party budget quietly breaks, and it happens in the last fortnight when nothing can be changed.
The fix is boring and it works. Never accept a per head number without the list of what it buys and the headcount it assumes. Without both in writing you do not have a quote, you have a vibe.
What a per head budget has to include
Five lines. Some will be zero for your party, which is fine, as long as each one gets dismissed on purpose rather than forgotten. 1. The room
The line that swings hardest and the one you control most. A bowls club function room, a brewery's private space, an RSL, a community hall and a hotel ballroom are not the same purchase and none of them price the same way. Some waive hire if you spend enough on food and drinks, some charge a flat fee, some do both, and your own office might cost nothing if one room is big enough. Get the hire fee and any minimum spend attached to it in writing before you fall in love with the photos.
2. The food
Canapes, a shared table, a sit down menu or a food truck out the front are four different budgets, priced four different ways by every venue you ask. What matters more than the headline is how the price behaves. Ask whether it is per person or per platter, how many pieces a person is assumed to eat, and what happens to the bill if numbers move in the final week.
3. The drinks
The wildest line, because it depends on human behaviour rather than a contract. A tab is open-ended by design. A package is predictable and you pay for the abstainers. A cash bar protects your budget and moves the cost onto your team, which is a decision worth making deliberately rather than by accident. Whatever the venue quotes, get them to say what sits outside the package, because spirits and anything premium usually do.
4. The thing people actually do
Entertainment, an activity, a host, or nothing. Nothing is a real option with a real cost, which is that the only shared activity left is drinking, and that quietly writes off a chunk of your team. If you are choosing an activity, this is the line where you should get an exact figure rather than a range, because a good entertainment supplier knows precisely what they charge. 5. Getting everyone home
Left off almost every spreadsheet and paid anyway. Depending on your venue and your postcodes that is a bus, rideshare vouchers, one person on soft drinks doing runs, or nothing because the venue is a short walk from a station. There is no honest number without knowing both, so get a quote for whatever you choose. A party where people drive themselves home after a bar tab is not a saving, it is a liability with better catering.
The $300 number the ATO set
This is the part most people organising a work Christmas party have never been told, and it changes how the budget conversation goes.
The fringe benefits tax minor benefits exemption applies where the notional taxable value of the benefit is less than $300 AUD and it would be unreasonable to treat it as a fringe benefit.
The ATO's own words on Christmas parties are that if the party is a minor benefit, that is the cost for each person is less than $300 and it would be considered unreasonable to treat it as a fringe benefit, no FBT applies.
There is a trade off the ATO states plainly: if the Christmas party is not subject to FBT, you cannot claim income tax deductions for the cost of the party.
One more worth knowing before you pick a venue. A party held on business premises during working hours with only current employees present does not attract FBT in the first place.

Why it matters for your spreadsheet: $300 a person is a long way above where a lot of work Christmas party budgets sit. Whether your own night lands above or below it depends entirely on what you include, and that is a sum only you can do. It is worth knowing the number exists before the budget meeting, because it changes the question from "how do we get this down" to "what does this buy". What your own tax outcome will be is not something a paint and sip company can tell you, and anybody who says otherwise on a blog is guessing about your business.

Read the right hand column again, because it does the opposite of what per head pricing normally does. Most per person prices are flat, so every extra body adds cost in a straight line and your average never budges. Here the $700 spreads over more heads each time somebody says yes, so the per head figure falls: $70.00 at ten guests, $67.50 at twenty, $66.00 at fifty. Inviting the warehouse team makes the night cheaper per person, not dearer. That is a rare sentence in party planning and it belongs in the email to whoever holds the budget.

How to get a real number out of a supplier
You are not being difficult by asking for specifics. You are being the person who does not have to send an apologetic email in January. Three questions do most of the work.
Ask for the inclusions as a list, not a paragraph. Then ask the better question: what is not included that most groups end up paying for anyway. A supplier who answers that one straight is a supplier you can trust with a December Friday.
Get the number the quote assumes, then ask what the total looks like with five fewer people and five more. Two minutes of somebody else's arithmetic tells you whether your budget survives a flu going through the office in week one of December.
Ask for the highest number the night could reasonably reach: surcharges, minimum spends, anything that kicks in after a certain hour, GST. Budget for that and be pleasantly surprised. Never budget for the quote and hope.
Then send one email with your date, your venue, your headcount and your five lines, and ask every supplier to answer against the same list. It turns a pile of quotes that cannot be compared into a spreadsheet with one winner.
